KASSI - Opening & Closing Procedures
This procedure outlines the requirements for opening and closing Karratha Adventure Sports.
The purpose is to:
- Ensure the store is safe and ready for trade.
- Provide a consistent customer experience.
- Maintain security of the premises.
- Ensure employees leave safely at the end of the day.
- Reduce risks associated with working alone.
Opening Procedure
Employees are expected to arrive with sufficient time to be ready to commence work at their rostered start time.
Being ready to work means:
- Signed in.
- In uniform.
- Personal belongings stored.
- Drinks and personal items put away.
- Ready to assist customers or commence opening duties.
Employees should not be arriving at their start time and then spending work time:
- Putting away personal belongings.
- Making coffee or preparing breakfast.
- Changing into uniform.
At the employee's rostered start time, they should be on the shop floor or actively completing opening duties as directed.
Opening Process
The opening checklist must be completed before the store opens to customers.
The opening process generally includes:
- Check the car park and surrounding areas for hazards, damage, suspicious activity or security concerns.
- Unlock the entry door.
- Place the padlock on the lock box.
- Place the crossbar behind the door to prevent it falling.
- Open the cyclone doors and secure them using the ropes and/or chairs provided.
- Enter the building and lock the door behind you.
- Deactivate the security alarm.
- Turn on lights as required.
- Turn on tills and required computer systems.
- Complete the Tower end-of-day/start-of-day process as required.
- Complete a walk-through of the store, turning on fans, aircons, computers, solar inverters- and identify any hazards, damage, leaks, security issues or maintenance concerns.
- Allow staff access to the building as they arrive.
- Unlock the customer entry doors at 8:30am, or earlier if staff are present, opening duties are complete and management approves opening.
Any hazards identified during opening must be managed in accordance with:
- KASSI - Hazard Reporting.
- KASSI - Injury & Incident Response.
HOW TO DO END OF SHIFT ON POS
Closing Procedure
Working together as a team during closing is essential.
Employees must not be left working alone in the store during the closing process. All team members rostered on shift are expected to actively participate in closing duties and a minimum of 2 staff to remain onsite until the store is secured.
15 Minutes Prior to Closing
- Bring all pallets, displays and other external items into the store.
- Secure the roller door.
- Leave staff-only areas and move onto the shop floor.
- Assist customers with final purchases.
- Tidy and recover areas while remaining available to assist customers.
10 Minutes Prior to Closing
Announcement:
"Attention customers. We will be closing in 10 minutes. Please make your final selections now. In 5 minutes, all customers will need to head to the counter to allow time to process transactions. Thank you."
Staff should actively assist customers and ask:
"Just letting you know we close in 10 minutes and in 5 minutes we'll be moving everyone to the registers. What can I help you find before then?"
5 Minutes Prior to Closing
Announcement:
"Attention customers. We will be closing in 5 minutes. Please make your way to the counter now so we can process your purchases before closing time. Thank you."
If required:
"Sorry, but we do need to close on time. If you'd like those items today, we need to head to the register now. Otherwise, we can leave them for another visit."
Final Customer Check
- Ensure all customers have been served or have exited the store.
- Check bathrooms.
- Check tearoom and staff areas.
- Ensure no customers remain in the building.
Systems Shutdown
Approximately 2 minutes before closing:
- Shut down computers as required.
- Shut down registers and POS equipment as required.
Final Lock Up
- Collect personal belongings once customers have left the building.
- Assemble at the exit while final checks are completed.
- Turn off required lighting and equipment.
- Set the alarm.
- Lock all required access points.
All employees should leave together once the store is secured.
Management is not required to remain in the carpark until all staff have departed.
